Introduction and Standardizing Data Entry | Week 3

Session Requirements

During this session, we’ll cover what you need to know about participating in Accelerate: using our tools, preparation tasks, and how to access resources from each session. We’ll spend the rest of our time discussing how to configure user accounts using the recommended system roles before diving into how to standardize data entry across your all in one solution. In addition, we’ll be supplying example guides to give your organization a jump start!

Finance Management & the Fundraising Hierarchy | Week 3
Recommended for Key Decision Makers of your Finance and Development Teams
Session Requirements
Finance management is a topic that your organization will continually come back to throughout your lifecycle. We’ll focus on introducing your team to the key features of Altru that relate directly to your financial recording processes, and then identify the best options to configure Altru for your organization’s success. We’ll also introduce you to the fundraising hierarchy and how these gifts will be entered into the system.

Fundraising Configuration | Week 4
Recommended for Key Decision Makers of your Development Office
Session Requirements
Understanding the fundraising hierarchy will be key to the configuration of this area and to your data conversion. We’ll spend time discussing fundraising recording needs before diving in to the key Altru configuration and processes for fundraising. With this understanding we can then begin the initial configuration of your hierarchy in Altru.
   
Ticketing & Program Configuration | Week 4
Recommended for Key Decision Makers of your Visitor Services Department
Session Requirements
Daily visitors account for a large part of your organization’s day-to-day tasks. We will discuss the areas you will need to configure to begin selling tickets for general admission and other programs, including discounts, pricing, and more.  At its completion your team members will have the knowledge to continue with the design and configuration of your programs and events!

Merchandise Management | Week 5
Recommended for Key Decision Makers of your Retail/Gift Shop or Similar Operations
Session Requirements
Whether you're selling bottles of water or running a full-blown gift shop with t-shirts, snacks, souvenirs and more -- the first step to accomplishing these tasks in Altru is to understand how your merchandise will be configured. All of your configuration needs are covered starting with configuring vendor records, adding merchandise, configuring discounts, and even printing the labels that can be scanned into Altru.

Membership Configuration | Week 5
Recommended for Key Decision Makers of your Membership Office
Session Requirements
Membership configuration opens the doors to a world of possibilities in Altru – member discounts, member-only events, and more. This session will focus on reviewing membership needs and building a program that will sustain these needs in your new Altru database. Upon the completion of the session your membership team members will have the tools necessary to complete the design of your membership program and membership cards.

Multi-Day Event Configuration | Week 6
Recommended for Key Decision Makers of your Education and Visitor Services team
Session Requirements
Are summer camps, classes, and workshops part of your operations?  In this session, we'll build on the concepts in the Program and Ticketing Configuration session and review how to create multi-day event packages from scheduled programs.  We'll also configure event package options for online sales to help streamline the online registration process.

Group Sales Configuration | Week 6
Recommended for Key Decision Makers of your Group Sales Reservation
Session Requirements
Your new understanding of Ticketing and Programs in Altru provides us with a foundation as we move into the discussion of your Group Sales configuration. We will spend this time reviewing key configuration and processes for group sales starting with the high-level configuration then progress into the day-to-day workflow of managing group sales reservations.

Facility Rental Configuration | Week 7
Recommended for Key Decision Makers of your Facility Rental Reservations
Session Requirements
Are you renting out space for corporate retreats, hosting weddings in the gardens, or booking birthday parties on the weekends? If so, this is the session for you. The focus of this session will be addressing your facility rental needs including the configuration process and the workflow required to manage these reservations. At the session completion, you will be ready to dive into configuring your facility rental process in Altru.

Best Practices for Data Testing | Week 7
Recommended for All Team Members that Manage Database Records included in the Conversion, including Database Administrators, Development Managers, and Membership Managers
Session Requirements
During the session, we’ll review key documentation that will guide you through reviewing and testing your converted historical data. At the completion of this session you will be prepared to continue testing and developing your list of questions, comments, and adjustments for your conversion team.

Deadline - Credit Card Registration Complete | Week 7
Deadline Requirements
Please be sure you have chosen and configured your credit card processor in Altru by this deadline.  It will be necessary as we move into future sessions, such as Web Forms Configuration.  This is not a call.

Web Forms Configuration | Week 8
Recommended for Key Decision Makers of your Development, Membership, Visitor Services, and Web Departments
Session Requirements
Online sales are a great way to increase revenue and are an added convenience for your patrons. In addition, they provide your organization with valuable patron information as they provide mailing and email addresses in addition to phone numbers. This session will prepare you to accept payments from the patrons visiting your site from your understanding of editing and approving webforms for the web!

Ticketing & Program Follow-up | Week 8
Recommended for Key Decision Makers of your Visitor Services Department
Session Requirements
Our Ticketing and Program completion session will include a high-level review of the key concepts required for successful program configuration. The remainder of our time will be spent diving into your databases to review the configuration you have completed, and any outstanding questions you may have to ensure the database is prepared for Go Live!

Group Sales Follow-up | Week 9
Recommended for Key Decision Makers of your Group Sales Reservation
Session Requirements
We’ll dive right into this completion session with a brief overview of the topics and tasks assigned during our Group Sales Configuration Session. We will then dive into databases to review the configuration your group has accomplished since our last session. As with all our completion sessions, we’ll then review any questions you may have about Group Sales.

Facility Rental Follow-up | Week 9
Recommended for Key Decision Makers of your Facility Rental Reservations
Session Requirements
This session will kick off with a review of the key configuration topics we discussed during our configuration session. We’ll then discuss any additional configuration questions you may have before finalizing your Facility Rental strategy in Altru. This strategy will allow you to complete any remaining configuration and begin the reservation data entry process!

Membership Follow-up | Week 10
Recommended for Key Decision Makers of your Membership Office
Session Requirements
This completion session will focus on the Membership configuration you have accomplished in your database! Prior to diving into your database, we’ll take some time to review the key concepts we discussed in our Membership Configuration session. After our review, we’ll then open the floor to any questions you may have about any remaining completion tasks. 

Fundraising Follow-up | Week 10
Recommended for Key Decision Makers of your Development Office
Session Requirements
Now that you have spent some time with your Conversion Test Run, you are ready to finalize your Fundraising Hierarchy. We’ll spend time reviewing the key concepts we need to consider in our configuration and then complete any outstanding items needed to finalize the designation translation of your conversion!

End of Day Procedures and Cash Management | Week 11
Recommended for Key Managers/Supervisors of your Visitor Services Team, Finance Managers, and anyone responsible for Creating Deposits and Depositing Cash
Session Requirements
There's nothing better than being able to quickly reconcile cash at the end of the day! Developing cash management procedures followed by all users at your organization will make end of day reconciliation a smooth process. We’ll explore configuration tasks and our best practice recommendations related to deposits and reconciliation.

Understanding your Acknowledgments | Week 11
Recommended for Development, Membership and Power Users
Session Requirements
Donor acknowledgments are a critical piece of donor communication. You should embrace the Thank You as the beginning of the donor relationship, not the end. During our session, we’ll discuss additional customization and some tips and tricks to improve your process and expand your relationships with donors.

Membership Communication and User Registration | Week 12
Recommended for Membership, Web, Visitor Services, and Power Users
Session Requirements
Communication with members is key to retaining members year after year. During this session, we’ll discuss configuring key aspects of your membership renewal letters. We’ll then move on to discuss how these members can leverage their benefits through user registrations. User registration can be a great tool for your organization: your patrons can easily get discounts they are eligible for online and it can help you prevent duplicates in your database. 

Best Practices for Fundraising and Membership | Week 12
Recommended for Membership and Fundraising
Session Requirements
Configuring your Altru database to be able to foster member and donor relationships is key.  During this session, we’ll review some additional tips and tricks for Membership and Fundraising to make sure you’re ready to make important connections with members and donors quickly after Go Live.
